Every guest is a row, and the row says what you need: who they are, how many people they bring, what they answered and which menu they picked. There are four states and they read at a glance — invited, confirmed, declined, no answer yet. You can group guests into families or categories (relatives, friends, colleagues) and leave a note on anyone, from “coming with a toddler” to “seat them next to the cousins from Leeds”.
The list belongs to the event, not to a file on one laptop: you both open it, from any phone, and see the same version. Nobody asks “did you update the file?” any more, because there is no file — and when a guest answers in the invitation, their row changes on the spot, with nobody copying it across.
When the time moves, when you want to nudge people gently about confirming, or when you send access details the day before, an email announcement goes out from the list — to everyone, or only to those who have not answered yet. You export no addresses, copy nothing into another tool, and nobody is left out because they were on the second sheet.
